# What Features Should Society Maintenance Software Have?

A practical checklist of the features a society treasurer needs from maintenance software, from billing and UPI matching to reminders, late fees and audit exports, plus when a spreadsheet is still enough.

The society maintenance software features that matter most are the ones a treasurer uses every month: billing each flat the right amount, collecting dues, matching payments to flats, chasing late payers and producing records an auditor will accept. Everything else is nice to have.

This checklist is built around those jobs. It compares what a spreadsheet does, what dedicated software should do, and what [Aangan](https://www.tryaangan.in), the society billing product from Taheri Developers, states on its website. We built Aangan, so read the Aangan notes as a vendor's description and not an independent review. Where its site says nothing, we say so.

## Which society maintenance software features matter every month

Start with this list. Each line is one job the software should do, followed by what to look for, how a spreadsheet copes, and what Aangan's site says.

- **Billing.** Look for a per-flat amount from area or an agreed rule, issued on a fixed date with a payment link. A spreadsheet can calculate it, but the bills are sent by hand. Aangan sends bills on the 1st, each flat's amount worked out from its area, with a one-tap pay link.
- **Collection.** Look for UPI payments straight into the society's bank account. With a spreadsheet you share a UPI ID and track credits yourself. Aangan lets residents pay with Google Pay, PhonePe, Paytm or any bank app, and the money goes directly to the society account.
- **Matching.** Look for a suggested flat for each unlabelled credit, confirmed by a person. A spreadsheet means manual lookup against the bank statement. Aangan reads the payer's name and amount and suggests the matching flat.
- **Receipts.** Look for a numbered receipt sent the moment the money is confirmed. A spreadsheet means typing or exporting each one. Aangan marks the bill paid when the bank confirms and sends a signed PDF receipt on WhatsApp.
- **Reminders.** Look for automatic messages before and after the due date. With a spreadsheet you copy and paste into WhatsApp. Aangan sends reminders three days before, on the due day and seven days after, with a committee escalation at thirty days.
- **Late fees.** Look for a rule set once from your bye-laws and applied on a fixed day with an explanation. A spreadsheet needs a formula someone remembers to run. Aangan applies late fees on the set day under the society's bye-laws.
- **Visibility.** Look for one screen showing who has paid. A spreadsheet offers colour-coded rows. Aangan shows a building grid by wing where each flat turns green when paid, and tapping it shows the resident and pending dues.
- **Expenses.** Look for bills and vendor payments recorded with proof. A spreadsheet means a column plus a folder of photos. With Aangan you photograph an electricity bill or a plumber's slip and the vendor, amount and date are filled in.
- **Reports and audit.** Look for a monthly summary for residents and a clean ledger export. A spreadsheet means building the summary yourself each month. Aangan sends a one-page report on the 5th showing money in and out with supporting bills, and the ledger can be exported when an auditor asks.
- **Setup and access.** Look for easy import of flats and separate logins for committee and staff. A spreadsheet is one file with one owner. Aangan asks for an email, mobile number and society name, lets you add flats by hand or from Excel, and lets the admin invite the treasurer and staff.

> Count how many UPI credits arrive each month with no flat number in the note. If it is only a handful, a spreadsheet may be enough. If it is dozens, matching and receipts are the features to put at the top of your list.

## Billing and automation: getting the right amount to every flat

Billing is where errors start. If one flat is billed from its area and another from a flat rate, or someone forgets to update the sheet after a sale, the committee spends the next month explaining numbers. Software should hold the rule once and apply it to every flat on a fixed date. Aangan's site says bills go out on the 1st with each flat's amount worked out from its area, and its [society billing software page](https://www.tryaangan.in/society-billing-software) adds that maintenance, sinking fund, water and parking can appear as separate lines. Owners and tenants are both covered: the tenant pays and the owner can see the receipt.

On the Society plan, Aangan also offers what it calls Autopilot, which runs bills, late fees and reports on a schedule. Scheduling matters more than it sounds. A routine that depends on one person's memory stops in the month that person is travelling.

Larger platforms cast the net wider. [MyGate's list of accounting features](https://mygate.com/blog/housing-society/society-accounting-software-features/) includes GST-compliant invoicing and flexible penalty structures, while [ADDA's list of ten](https://blog.ind.adda.io/2024/08/features-of-society-accounting-software/) adds customisable reports and stock tracking for maintenance supplies. Those suit complex estates. A typical residential society needs the monthly cycle to run reliably first.

## Collection: UPI, payment matching and receipts

### Paying by UPI

Residents already pay by UPI, so the software should meet them there. According to the [Aangan website](https://www.tryaangan.in), residents pay through Google Pay, PhonePe, Paytm or any bank app, the money goes straight to the society's bank account, there is no fee on UPI payments, and residents need not install anything because the pay link arrives on WhatsApp. Its billing page adds that cards and net banking run through Razorpay and that the money never sits with Aangan.

### Matching a payment to a flat

A bank credit shows a name and an amount, not a flat. That is why unlabelled payments eat the treasurer's time. Good software reads the name and amount, proposes a flat, and leaves the final click to a person. Aangan describes exactly that, and our [Aangan case study](https://taheridevelopers.com/case-studies/aangan) walks through a worked example. For the full logic, read our post on [how society maintenance software matches UPI payments](https://taheridevelopers.com/blog/society-maintenance-software).

### Receipts and cash

A payment is not finished until the resident has proof. Cash is the case that simple tools forget. Aangan's billing page says receipts are issued for cash payments too, and its case study says cash collected by staff shows on the dashboard as with the guard until someone marks it deposited. That tells a committee exactly which money has been collected but is not yet in the bank.

## Reminders and late fees

Chasing dues by hand is slow and awkward, and it is the part of the job people resent most. The useful feature is a fixed ladder of messages that starts polite and gets firmer. Aangan's site lists WhatsApp reminders three days before the due date and on the due day, a firmer reminder seven days after with the late fee applied, and a committee escalation at thirty days. Because the schedule is automatic, nobody has to decide whom to message this week.

Software can only apply a rule you already have. Check your registered bye-laws and your state's cooperative society rules before setting any rate, and treat figures quoted online as examples. This is general information, not legal advice.

## Records: ledger, monthly report, bill capture and audit

Committees answer to members, so the record matters as much as the collection. Four features carry most of the weight.

- **A ledger you can export.** Aangan's site says the full ledger can be exported whenever an auditor asks, and the Society plan lists auditor export.
- **A monthly report residents can read.** On the 5th each flat receives a one-page report showing money in and out, with the supporting bills attached.
- **Bill capture.** Photograph a bill and the vendor, amount and date are filled in, so expenses carry their proof from day one.
- **Accounting exports.** The Federation plan adds Tally export and GST invoices, plus several buildings under one login.

Bigger platforms go further. MyGate's list adds multi-level approvals before spending, vendor profiles and contracts, role-based access and automated backups. Aangan's site says it covers only money: dues, receipts, reminders, ledger and reports. It does not describe approval workflows, vendor management, hosting location or backups, and its FAQ does not say whether it is full accounting software, so ask about each before you rely on it.

## Setup, access and who can see what

Look for a short route from sign-up to the first bill. Aangan's subscription starts with an email, mobile number and society name. The person who signs up becomes the admin and can invite the treasurer and staff. Flats can be added during sign-up or later, by hand or from Excel, and Aangan hosts and updates the software. Societies that prefer to pay once can ask for a one-time licence, where Aangan sets up the flats with the committee and moves the Excel register. The licence price is not published, so request a quote through the contact form or WhatsApp.

## Questions to ask any vendor before you choose

- **What happens to a payment with no flat number?** Ask to see the suggestion, the evidence behind it, and who confirms it.
- **How are cash and cheque handled?** A tool that handles only UPI leaves the rest to the treasurer.
- **Where does the money go?** It should reach the society's own bank account.
- **Can I export everything?** Look for a ledger export your auditor and accountant can read.
- **What are the message limits?** Bills, reminders and receipts travel over WhatsApp, so check whether your plan caps them.

## When a spreadsheet is still enough

A spreadsheet is a reasonable choice for a very small society with one careful treasurer, a handful of UPI payments a month and little turnover on the committee. You lose little by waiting. The case for software grows with each of these: credits you cannot place quickly, reminders you keep forgetting, receipts that arrive days late, and a treasurer handover that means explaining a file nobody else understands. If two or three of those describe your society, the checklist above is worth running against a real product. Aangan's free plan covers up to 20 flats, so a small society can test the workflow before deciding.

## What Aangan's plans include

Aangan publishes its prices on the [pricing section of its site](https://www.tryaangan.in/#pricing). Starter is free for up to 20 flats and includes the ledger, dues and receipts, UPI pay links and 100 WhatsApp receipts a month. Society is ₹6 per flat and adds unlimited WhatsApp receipts and reminders, Autopilot, UPI auto-matching and AutoPay, bill snapping and auditor export. Federation is ₹9 per flat and adds several buildings under one login, Tally export, GST invoices and priority help on WhatsApp. The site's own example is ₹288 for 48 flats on the Society plan. It labels prices monthly but also says billed yearly, so check current terms on the pricing page before you commit.

## When a custom build makes sense

Some federations, builders and large estates need rules a ready product cannot hold: unusual charge structures, several legal entities, or links into an existing ERP or Tally set-up. Taheri Developers builds [custom software](https://taheridevelopers.com/services) for those cases and also offers [ready products](https://taheridevelopers.com/products) such as Aangan. If you are unsure which applies, list the rules that are unusual and ask whether a product can hold them.

## Next step

Before you shortlist anything, mark which of the ten lines above cost your treasurer the most time this month, then test every product against those lines with your own data. To see Aangan's workflow, open the [committee demo](https://www.tryaangan.in/app) or try the free plan at [tryaangan.in](https://www.tryaangan.in). ## Frequently asked questions

### What features should society maintenance software have?

At minimum: per-flat billing on a fixed date, UPI collection into the society's own bank account, payment matching, automatic receipts, reminders, bye-law late fees, a searchable ledger and an auditor export. Larger estates may also need spending approvals, vendor records and backups, so confirm those separately with every vendor you shortlist.

### Is a spreadsheet enough to manage society maintenance?

For a very small society with one careful treasurer and few UPI payments, often yes. It stops working when credits arrive without flat numbers, reminders get forgotten, receipts run late, or the treasurer changes and nobody understands the file. At that point dedicated software saves real time and reduces disputes.

### Does society maintenance software handle cash payments?

It should. Aangan's billing page says receipts are issued for cash payments too, and its case study says cash collected by staff stays on the dashboard as with the guard until someone marks it deposited. Ask any vendor to demonstrate cash, cheque and card entries on screen before you commit.

### How much does society maintenance software cost in India?

Prices vary by product. Aangan publishes ₹6 per flat on its Society plan and ₹9 on Federation, with a free plan up to 20 flats. Its example is ₹288 a month for 48 flats on Society. The site mentions both monthly and yearly billing, so confirm current terms on the pricing page.

### Can residents pay maintenance by UPI without installing an app?

With Aangan, yes. Its site says residents pay through a WhatsApp link using Google Pay, PhonePe, Paytm or any bank app, with no app to install. Money goes directly to the society's bank account and UPI payments carry no fee. Check the same points with any other vendor you consider.
