A good maintenance reminder message is polite before the due date, firmer after it, and handed to the committee only after a month of silence. Most residents who pay late have simply forgotten, so the first message should sound like a nudge, not a notice. This guide gives you a four-stage WhatsApp plan, a sample message for each stage, the rules that keep the tone fair, and a look at how Aangan, the maintenance app built by Taheri Developers, sends the same reminders automatically.

Why WhatsApp works for maintenance reminders

A reminder on WhatsApp reaches residents where they already read their messages, which a notice on the board does not. The message can carry the amount and a pay link together, which lets the resident settle the bill in the next minute instead of promising to do it later. Two cautions apply. A reminder posted in the society group shows everyone who has not paid and starts arguments, so send reminders to one flat at a time. And WhatsApp is a reminder channel, not a legal one: NoBrokerHood's housing society WhatsApp group rules say chat messages are generally not a substitute for formal notices, which must follow your state's law and your bylaws.

A maintenance reminder message for each stage

The ladder below follows the schedule Aangan's website describes: three days before the due date, on the due day, seven days after, and thirty days after. Your society can choose other gaps. What matters is that each message is a little firmer than the last and that residents know the schedule in advance.

  • Stage 1, before the due date. Sent three days ahead. Friendly tone. Flat, month, amount, due date and pay link.
  • Stage 2, on the due day. Sent in the morning. Short and neutral. Same amount and pay link, plus a note that a receipt follows payment.
  • Stage 3, seven days overdue. Firm but respectful. The pending amount, the late fee if your bylaws allow one, and an offer to help.
  • Stage 4, thirty days overdue. Formal. The total due, a statement that the case has gone to the committee, and a contact for a payment discussion.

Stage 1 sample: the friendly reminder

"Hello [Name], a gentle reminder that the maintenance for flat [number] for [month], ₹[amount], is due on [date]. You can pay with any UPI app here: [pay link]. Thank you. [Society name] Committee"

Stage 2 sample: the due-day note

"Good morning [Name], maintenance of ₹[amount] for flat [number] is due today. Pay here: [pay link]. A receipt will follow once the payment is confirmed."

Stage 3 sample: the overdue reminder

"Hello [Name], the [month] maintenance of ₹[amount] for flat [number] is still pending. As per our bylaws, a late fee of ₹[fee] applies, making the total ₹[total]. If something is stopping you from paying, please reply and we will help. Pay here: [pay link]."

Stage 4 sample: the escalation

"Hello [Name], the maintenance dues for flat [number] are now 30 days overdue, with ₹[total] pending. The matter has been shared with the committee. Please contact [name and number] to clear the amount or discuss a way forward."

These samples are our own wording, written to be edited. Replace the brackets, keep each message short, and send it from an official committee number rather than a personal chat.

Rules that keep reminders fair

  • Charge a late fee only if the bylaws allow it. NoBrokerHood's maintenance due notice guide says interest or penalties should be charged only where bylaws or general body resolutions permit them. Print the rate on the bill.
  • Keep the language professional. The same guide lists aggressive or threatening wording as a common mistake, and many residents simply forget due dates.
  • Give everything needed to pay. Flat, month, amount, due date and a one-tap way to pay. Ask residents who have already paid to share the receipt.
  • Send a receipt for every payment. It ends the "I already paid" argument before it starts.
  • Mind the hour. NoBrokerHood's group rules advise avoiding non-urgent messages between 9 PM and 7 AM.
  • Keep a record. Save what was sent, to whom and when, because that history matters if the committee ever needs to act on long-pending dues.

A reminder is only as fair as the bill behind it. If you are still settling the amount, read our guide to how society maintenance is calculated, and see how to collect society maintenance through UPI so the pay link in your message works smoothly.

How Aangan sends the whole ladder for you

Aangan is billing and collection software built by Taheri Developers. Everything below is what its website states. If you would rather send reminders by hand for now, Aangan also publishes free maintenance reminder message templates with copy-ready wording.

  • Automatic WhatsApp reminders. Each flat gets a reminder three days before the due date, on the due day, seven days after with the late fee, and thirty days after, when it goes to the committee. They are polite before the due date and firmer after it. Fees follow the bylaws you set once, and unlimited reminders are listed under the Society and Federation plans.
  • Bills and UPI payments. Bills go out on the 1st with each flat's amount worked out from its area and a one-tap pay link. Residents pay with GPay, PhonePe, Paytm or any bank app, the money goes straight to the society account, and there is no convenience fee on UPI. When a payment arrives without a flat number, the payer name and amount suggest the flat.
  • Receipts. A flat is marked paid when the bank confirms the payment, and a signed PDF receipt goes out on WhatsApp.
  • Committee view. A flat grid by wing turns green when a flat pays, and tapping a flat shows the resident and dues. On the 5th each flat gets a one-page report of money in and money out, with the supporting bills. The ledger keeps dues and receipts, and there is an auditor export. On the Society plan, Autopilot runs bills, late fees and reports.
  • Bills and people. Photographing a vendor bill fills in vendor, amount and date. Owners and tenants are both covered, and residents need no app: they tap a WhatsApp link and pay with any UPI app. The Federation plan adds Tally export, GST invoices and several buildings under one login.

Setup is self-serve: sign up and you become admin, then invite the treasurer and staff. Flats can be added by hand or from Excel, and the software is hosted and maintained for you. Starter is free for up to 20 flats and includes 100 WhatsApp receipts a month. Society costs ₹6 per flat per month and Federation ₹9, so 48 flats on Society is ₹288 a month. Billing terms are worded inconsistently on the site, so check current terms on the pricing page. A one-time licence, with flats set up and your Excel register moved, is available on request for a quote. More detail is on the society billing software page, and our post on what features society maintenance software should have helps you compare tools.

Chasing dues by hand works for a few flats and wears out any treasurer after that. Send a nudge before the date, a firm note after it, and escalate only once a month has passed, with every message polite and recorded. Aangan sends that ladder for you, and Taheri Developers can build custom software if your society needs something different. Open the committee demo to see the reminders first.

Free for up to 20 flats. Open the committee demo first if you prefer.

Frequently asked questions

What should a maintenance reminder message say?

A good maintenance reminder message names the flat, the month, the amount and the due date, and gives a simple way to pay, such as a UPI link. Keep the tone polite. After the due date, add the pending total and any late fee your bylaws allow, and offer help if the resident has a problem.

When should a society send maintenance reminders?

Aangan's website describes four points: three days before the due date, on the due day, seven days after, and thirty days after. Your society can choose its own gaps. What matters is that residents know the schedule in advance and that each message is a little firmer than the one before it.

Is a WhatsApp message enough as a notice for unpaid maintenance?

Usually not. NoBrokerHood's group-rules guide says WhatsApp messages are generally not a substitute for formal notices, which must follow state law and bylaws. For dues pending for months, send a proper notice through more than one channel, keep proof of delivery, and check your state's rules or take legal advice.

Can a society charge a late fee on maintenance?

Only if the bylaws or a general body resolution allow it. Print the rate on the bill and apply it to every flat equally. Limits on interest differ by state, so check your own rules before fixing a figure. Aangan adds late fees on the right day according to the bylaws you set once.

Can maintenance reminders be sent automatically on WhatsApp?

Yes. Aangan's website says it sends WhatsApp reminders automatically before the due date, on the due day, seven days after with the late fee, and thirty days after, when the matter goes to the committee. Residents need no app. Unlimited reminders are listed under the Society and Federation plans.
