A society maintenance receipt should show who paid, for which flat and period, how much, against which charges, by what method and who received it, all under a running receipt number. Get those fields right and a payment question months later takes two minutes to settle instead of becoming an argument at the annual general meeting.
This checklist comes from Taheri Developers, who built Aangan, a maintenance billing app for housing societies. We use Aangan's published pages for the product facts and say so where we do.
Why the receipt matters more than the bill
A bill says what is due. A receipt is the only proof that it was paid. Owners need it when they sell or let a flat, tenants need it to show the owner what they paid, and the auditor needs it to tally against the bank statement. Most maintenance disputes come down to one question: did this flat pay for this month? A complete, numbered receipt answers it.
What a good maintenance receipt format looks like
The guides we read, including a software vendor's template page, say there is no single fixed format. Your bye-laws or registrar may ask for more, so check them first. The fields below are the ones those guides and Aangan's free receipt generator have in common. Treat this as a spine you can print and tick off.
- Society details. Name, address and registration number if the society is registered. This tells a reader which body issued the receipt.
- Receipt number. A running number that never repeats and never skips. Gaps invite the question of what happened to number 47.
- Date. The day the money was received, not the day the receipt was typed.
- Flat and payer. Flat number, wing and the name of the person who paid, marked as owner or tenant.
- Period paid for. Month and year in full, such as October 2026. "Oct" does not say which year.
- Charge breakup. Each charge on its own line: maintenance, sinking fund, water, parking and so on. Aangan's sample receipt for flat A-302 lists maintenance ₹2,000, sinking fund ₹200 and water ₹160.
- Total. In figures and in words. In that sample, ₹2,360 is also written out as rupees two thousand three hundred sixty only.
- Payment mode and reference. UPI, cash, cheque, NEFT or card, plus the UPI reference (UTR) or cheque number. This is what lets the treasurer match the receipt to the bank.
- Received by. The name or designation of the treasurer or authorised person, with a signature.
- Remaining dues (optional). If the payment is partial, say what is still unpaid, so nobody has to reconstruct it later.
- GST (only if it applies). Whether your society must charge GST depends on its facts. Aangan's GST guide explains the position, and this post is not tax advice.
Bill or receipt: send each at the right time
A bill and a receipt look alike but do different jobs. A bill adds a due date and the society's UPI ID because it asks for payment. A receipt drops those and adds the payment reference because it confirms payment. Send the bill when the month starts and the receipt when the money arrives, and keep both in the same flat-wise record.
Receipts for cash, cheque and UPI payments
- Cash. Issue the receipt on the spot, from the same number series as every other receipt. Shriram Finance's housing society FAQ advises residents to ask the society office for a manual receipt showing the date, amount and the representative's signature. Cash is where records most often go missing, so encourage UPI.
- Cheque. Write the cheque number and bank on the receipt. Consider issuing it once the cheque clears, so a receipt never exists for a payment that bounced.
- UPI. Record the UTR. Typing it by hand invites mistakes, so a receipt generated from the payment record is safer.
- Tenant pays. Put the payer's name on the receipt and give the owner a copy. Aangan describes this as the tenant paying while the owner sees the receipt.
Mistakes that lead to disputes
- Skipped or repeated numbers. Start a fresh series each financial year and never reuse a number.
- One lump sum. A single total hides whether the sinking fund was paid. List each charge.
- No payment reference. Without a UTR or cheque number, the treasurer cannot match the receipt to the bank.
- Receipts only on request. If residents must ask, some will not, and the record has gaps.
- Overwriting an issued receipt. If a receipt has an error, record a correction as a new entry instead of editing the old one.
How Aangan issues receipts without manual typing
If typing receipts is the part your treasurer dislikes, this is what Aangan's homepage and society billing software page say it does.
- Receipts. Every payment gets a numbered receipt in one series per financial year, sent on WhatsApp as soon as it is recorded, cash included. For UPI, the flat is marked paid when the bank confirms and a signed PDF receipt follows.
- Bills and payments. Bills go out on the 1st with each flat's amount worked out from its area and a one-tap pay link. Residents pay by UPI through Google Pay, PhonePe, Paytm or any bank app, with no convenience fee on UPI, and the money goes straight to the society account. Aangan reads the payer's name and amount and suggests the matching flat.
- Reminders and late fees. Automatic WhatsApp reminders go out three days before the due date, on the due day, seven days after with the late fee, and thirty days after to the committee. Late fees follow your bylaws. On the Society plan, Autopilot handles bills, late fees and reports.
- Committee view and books. A flat grid by wing turns green as flats pay, and tapping a flat shows the resident and dues. On the 5th, a report shows money in, money out and the bills behind it. The ledger holds dues and receipts, snapping a bill fills in vendor, amount and date, and the full ledger exports for your auditor. A Tally export and GST invoices are listed as planned, not live.
- Setup and price. Residents need no app. You sign up yourself, invite the treasurer and staff, and add flats by hand or from Excel. Starter is free for up to 20 flats. The Society plan is ₹12 a month for each flat above 20, and ₹8 for managers with several societies. A one-time licence is available by quote. Check current terms on the pricing section.
When a free template is enough
A printable template is enough for a small society whose treasurer is careful and issues a receipt every time. Software starts to pay off when payments arrive faster than anyone can type receipts. Our posts on whether Excel is enough, collecting maintenance through UPI, WhatsApp reminders and software cost help you judge when.
A good maintenance receipt is numbered, dated and specific: flat, period, each charge, payment reference and a signature. Start with the free receipt generator if your society is small, or let Aangan send receipts for you. It is built by Taheri Developers, who can also build custom software for societies with different needs.
Free for up to 20 flats, no setup fee. Open the committee demo first if you prefer.

What is the format of a society maintenance receipt?
The guides we checked describe no single mandatory format, but a good receipt shows the society's name and address, a running receipt number, the date, the flat and payer's name, the period paid, each charge with its amount, the total in figures and words, the payment mode with its reference, and the receiver's signature. Check your bye-laws for extras.
What is the difference between a maintenance bill and a receipt?
A bill asks for money. It shows the amount due, the due date and where to pay, such as the society's UPI ID. A receipt confirms money received. It shows the amount paid, the date, the payment reference and who received it. Send the bill when the month starts and the receipt when payment arrives.
How do I get a maintenance receipt for a cash payment?
Ask the society office for a manual receipt when you pay, showing the date, the amount and the signature of the person who took the cash. Shriram Finance's guide gives the same advice. Better still, pay by UPI or bank transfer, so the payment also leaves a record in your bank statement.
Can a society send maintenance receipts on WhatsApp?
Yes, if the tool supports it. Aangan sends a numbered receipt on WhatsApp as soon as a payment is recorded, and its homepage says a signed PDF follows when the bank confirms a UPI payment. Starter includes 100 WhatsApp receipts a month, and the Society plan lists unlimited. Residents need no app.
Where can I make a free maintenance receipt online?
Aangan's maintenance receipt generator is free and needs no sign-up. You enter the society, flat, period, charges and payment mode, and it builds a receipt with the amount in words that you can print or save as a PDF. The page says nothing you type is uploaded.
